Community Service Coordinator

Reports To: Care Centre Associate

Position Overview:

The Community Services Coordinator (Food Pantry & Outreach) is responsible for overseeing the daily operations of the Food Pantry while leading community outreach efforts that strengthen connections, expand program awareness, and support the mission of the Care Centre. This role combines hands-on program leadership with relationship-building, volunteer coordination, and administration. The coordinator ensures all clients are served with dignity and compassion, while also cultivating partnerships and engaging the community to increase impact.

Key Responsibilities

Food Pantry Operations & Administration

  • Oversee all aspects of pantry operations, including food distribution, client flow, and on-site support.

  • Ensure the pantry is organized, fully stocked, clean, and ready for service.

  • Supervise setup and cleanup before and after distribution days.

  • Maintain high standards of food safety, sanitation, and confidentiality.

  • Implement and monitor operational procedures to ensure efficiency and client satisfaction.

  • Maintain accurate logs of clients served, inventory distributed, and volunteer hours.

  • Welcome and support clients with compassion, respect, and professionalism.

  • Assist with client intake, registration, and data updates as needed.

  • Connect clients to additional Care Centre programs or community supports.

  • Ensure all interactions promote dignity, care, and a positive client experience.

  • Build and maintain relationships with community partners, local agencies, and service providers.

  • Represent the Care Centre at outreach events, community fairs, and partner gatherings.

  • Develop outreach strategies to increase awareness of pantry services and connect families to support resources.

  • Coordinate outreach initiatives such as donation drives, partner events, or seasonal programs.

  • Track outreach activities and measure engagement, participation, and partnership growth.

  • Maintain accurate records using internal systems (e.g., ClickUp or shared databases).

  • Prepare weekly or monthly updates on pantry activity, volunteer engagement, and outreach initiatives.

  • Support ongoing program evaluation and development.

  • Collaborate with Care Centre leadership to enhance processes, policies, and service quality.

Inventory & Logistics Management

  • Manage incoming and outgoing food inventory, record donations and deliveries.

  • Coordinate with food suppliers, donors, and community partners for regular pickups and deliveries.

  • Conduct routine inventory counts and maintain organized storage.

  • Ensure proper food rotation and disposal of expired items.

  • Communicate inventory needs, shortages, or surpluses to leadership.

Volunteer Coordination

  • Recruit, schedule, and train pantry and outreach volunteers.

  • Provide on-site direction, coaching, and support to volunteers during pantry service and outreach events.

  • Communicate regularly with volunteers regarding updates, procedures, and expectations.

  • Foster a positive, encouraging, and team-focused serving environment.

Qualifications & Skills

  • Social Service Worker diploma

  • Experience in food pantry operations, community outreach, volunteer coordination, or social services preferred.

  • Strong organizational and communication skills.

  • Ability to lift and move boxes (up to 20 lbs) and stand for extended periods.

  • Compassionate and client-centered approach to service.

  • Ability to build relationships with diverse individuals and community groups.

  • Comfort using digital tools and share databases for scheduling, tracking, and communication.

  • Knowledge of food safety practices an asset.

  • Commitment to the mission, values, and community-focused vision of the organization.

Working Conditions

  • Onsite role with active physical components (lifting, stocking, event setup/ teardown).

  • Occasional evening or weekend hours for outreach events or special initiatives.

  • Regular interaction with volunteers, clients, and community partners.
